Letting go of control can be hard, but if you want to grow your business, you need to learn to delegate. In this episode of Realestatable, Tiffany and Ashlee talk about the joys and challenges of working with an assistant and a TC. If you’re trapped under a mountain of paperwork or you’re spending your days sticking labels on envelopes, you’re not out there prospecting of building connections with clients – now is the time to ask for help!

When to Hire a TC or Assistant

  • Tiffany hired an assistant when she started working with a team that was looking up to her as a leader. For accountability’s sake, she needed to make sure she was getting everything done.

  • Don’t wait until you’re deep in the weeds! Hire an assistant or TC when you have time to set things up and plan. If you’re being reactive in your business, you won’t have as much time to work closely with them or collaborate.

  • Tiffany recommends getting an assistant or TC if you’re closing 1+ deal per month (but some agents prefer to have one before hitting that point).

Keeping Things Organized

  • Tiffany and Ashlee use Trello to communicate with their assistant. That way, it’s easy to keep track of what tasks need to be done and everyone can see where they’re at.

  • The team employs a TC with a real estate license. They will often include her in group chats with the clients to help keep information about the paperwork straight.

Unlicensed Assistant vs. Transaction Coordinator: What Do You Need?

“Don’t feel like, ‘Okay, I’m an irreplaceable part of this. The value is only there if…’ The value is there if it’s getting done. It doesn’t matter if it’s you.” – Tiffany Klusacek

“I wanted a hand in everything on my business. I wanted to do the paperwork. I wanted to make sure it was done. I slowly started using [our TC]. I slowly was like, ‘Hey, can you send out this paper or this document? Can you email about this inspection? Things like that, where I just kind of slowly let go.” – Ashlee Jankovich
